At Mindful Groove, we understand that plans can sometimes change. Our cancellation and refund policy is designed to give you peace of mind while also ensuring that our retreat hosts have reasonable protection against late cancellations.
By making a booking with Mindful Groove, you acknowledge and agree to the cancellation terms applicable to the retreat you have selected.

1. Initial 72-Hour Cancellation Period

For bookings made directly through Mindful Groove, you may cancel your booking within 72 hours of receiving your booking confirmation and receive a full refund of amounts paid, provided the cancellation is made within that 72-hour period.
This initial cancellation period applies unless otherwise stated at the time of booking or where applicable law provides a different or additional right.  After the 72-hour period has expired, the cancellation and refund terms applicable to your specific retreat will take effect.

2.​ Deposit is non-refundable outside the 72 hr cancellation period above. 60 or more days before the retreat start date, 100% of the deposit is transferrable to another date agreed with the Retreat hosts.
 

Remaining Balance
 

• The remaining balance becomes due 30 days before the retreat start date.

• If the remaining balance was paid at the time of booking, it is refundable when cancellation is made 30 or more days before the retreat begins.

• The remaining balance is non-refundable for cancellations made 29 days or fewer before the retreat start date.

Your booking confirmation will specify the deposit and remaining balance applicable to your booking.

3. Your Responsibility Before Booking
 

Before completing your booking, you are responsible for reviewing the cancellation policy that applies to your chosen retreat.
Please make sure you understand:

• the amount of your deposit;

• when your remaining balance is due;

• the deadlines for cancellation;

• the amount, if any, that may be refunded following cancellation; and

• any retreat-specific cancellation conditions.

The cancellation policy applicable to your booking will be identified in your booking information and confirmation.

4. How to Cancel Your Booking

To request a cancellation, please contact Mindful Groove using the contact details provided in your booking confirmation.
Your cancellation request should include your:
 

• full name;

• booking reference;

• retreat name; and

• requested cancellation date.
   

The date on which Mindful Groove receives your cancellation request will normally be used to determine which cancellation terms apply.
We will confirm receipt of your cancellation request and advise you of any refund due.

5. Refunds

Where you are entitled to a refund, Mindful Groove will normally return the applicable amount using the original payment method.
Refund processing times may depend on your payment provider or financial institution.
Where a booking involves a third-party retreat host, payment processor, or other service provider, additional processing time may apply.

6. Retreat Host Cancellations

If a retreat is cancelled by Mindful Groove or the retreat host, you will be informed as soon as reasonably practicable.
Where applicable, you will be offered the refund or other remedy provided under the booking terms and applicable law.
Mindful Groove is not responsible for additional costs you may incur outside the retreat booking itself, such as flights, accommodation booked independently, travel insurance, or other travel expenses, unless otherwise required by law or expressly agreed in writing.

7. Exceptional Circumstances

We understand that serious and unexpected circumstances can sometimes prevent a guest from attending a retreat.
Unless otherwise stated in the applicable retreat policy, refunds for such circumstances are not guaranteed. Mindful Groove may, at its discretion and where circumstances permit, discuss alternative arrangements with you, such as transferring your booking to another date.
Any such arrangement is discretionary and does not alter the cancellation policy applicable to your booking.

8. Statutory Rights

Nothing in this policy is intended to exclude, restrict, or limit any rights or remedies that cannot lawfully be excluded or limited under applicable consumer protection legislation.
Where a statutory right provides you with a greater entitlement than the cancellation terms stated above, that statutory right will apply.

9. Acceptance of These Terms

By completing a booking with Mindful Groove, you confirm that you have had an opportunity to review and understand the cancellation policy applicable to your selected retreat.
The cancellation policy applicable to your booking forms part of your agreement with Mindful Groove and/or the relevant retreat host, as applicable.
